How do you order a sworn translation?

Most of our clients are expats and internationals who need an official translation that a Dutch authority will accept, such as the IND or their gemeente. The four steps below explain what happens from the moment you upload your document to the moment the finished translation reaches you.

  1. 1

    Upload document

Upload your document through our secure form. A clear scan or phone photo is enough; we accept PDF, Word and high-quality images.

    • Secure SSL-encrypted upload
    • All common formats accepted
    • Immediate confirmation by email
  2. 2

    See your price straight away

You see your price straight away, with no obligation. The price you see is the price you pay, and you confirm only when you are ready. Prefer a quote first? You receive one within 1 hour on working days.

  5. 5

    Quality check

A second sworn translator reviews the work for accuracy, terminology and legal wording before the stamp and signature go on.

    • Two-person review
    • Terminology check
    • Layout and formatting check
  6. 6

    Delivery

The stamped translation is sent by registered post. A digital copy (PDF by email) is an optional add-on for €9.95.

    • Digital copy (PDF) as an option
    • Track and trace available

How do you safeguard quality at each step?

Every sworn translation goes through a two-person check: one Rbtv-registered translator does the translation, and a second sworn translator reviews the terminology, layout and legal wording before the stamp and signature are added.

Each translator also works under the Bureau Wbtv code of conduct and carries professional liability insurance. If a body rejects a translation in writing for a reason that lies with the translation, we correct it free of charge within 3 working days under our acceptance guarantee, and refund the translation fee under its conditions if the corrected translation is rejected again.

How safe is my document during upload and handling?

Uploads run over an SSL-encrypted connection (HTTPS/TLS 1.3) and documents are stored on EU servers. Client documents are deleted automatically within 30 days of the order being finished, in line with the GDPR.

Every translator is bound by the duty of confidentiality under article 32 of the Wbtv. For highly sensitive material, documents can be exchanged with extra encryption through an end-to-end portal on request.

Frequently asked questions about the translation process

Below are answers to common questions about our translation process, from uploading your document to the delivery of your sworn translation.

Standard delivery is 5 to 7 working days from the moment you confirm your order. If you need it sooner, you can choose express delivery (2 to 3 working days, +50%, minimum €55) or, for Dutch ↔ English and French ordered before 12:00 on a working day, same-day (shipped within 24 hours, +100%, minimum €75) in the order form.

In most cases a clear scan or photo is enough, and the sworn translator binds the translation to that copy. If a particular authority insists on a translation bound to the physical original, that is the exception, and we tell you when it applies before you order.

The stamped translation is sent by registered post (€9.95, free from €299 subtotal, Netherlands only). A digital copy (PDF by email) is an optional add-on for €9.95; it has the same legal standing as the printed version and you can submit it to most Dutch authorities directly.

Yes. You can order directly: after you upload your document and choose the language pair, you see your price straight away. If you prefer a quote first, you receive one within 1 hour on working days. From €47 for the first page for Dutch ↔ English or French, and from €67 for other languages. The base price covers the translation, sworn statement, official stamp and acceptance guarantee.

A sworn translation by a translator registered in the Rbtv is legally valid (Wbtv). Should the IND or your gemeente reject it anyway, our acceptance guarantee applies. If a body rejects a translation in writing for a reason that lies with the translation, we correct it free of charge within 3 working days. If the corrected translation is rejected in writing again, we refund the translation fee under the conditions of the acceptance guarantee (apostille, extra copies and the rush surcharge are excluded).
